These Terms and Conditions ("Terms") govern your use of the website and services provided by Willow and Oak Aesthetic Collective ("we," "us," or "our"). By accessing our website, booking an appointment, or receiving services, you agree to be bound by these Terms.

1. Medical Services Disclaimer

Willow and Oak Aesthetic Collective is a medical spa providing aesthetic and wellness services that may include medical procedures. All treatments are performed by licensed professionals or under appropriate medical supervision in accordance with Tennessee law.

  • Results may vary from person to person

  • No guarantees are made regarding outcomes

  • Services are elective and not medically necessary in most cases

Nothing on this website is intended to substitute for professional medical advice, diagnosis, or treatment.

2. Eligibility

By using our services, you confirm that:

  • You are at least 18 years of age or have parental/guardian consent

  • You provide accurate and complete health information

  • You agree to follow all pre- and post-treatment instructions

We reserve the right to refuse service if it is deemed unsafe or inappropriate.

3. Appointments, Cancellations, No-Shows & Late Arrivals

  • Cancellation Notice: A minimum of 24–48 hours’ notice is required to cancel or reschedule

  • Late Cancellations: May incur a fee of 50–100% of the scheduled service

  • No-Shows: Will be charged up to 100% of the service cost

Late Arrival Policy

  • Clients arriving more than 10–15 minutes late may have their appointment shortened or rescheduled

  • If rescheduling is required due to late arrival, a cancellation fee may apply

  • Arrival more than 15 minutes late may be treated as a no-show

We encourage clients to arrive early to ensure a full and relaxing experience.

4. Refund Policy

All sales are final. We do not offer refunds on:

  • Services rendered

  • Prepaid packages (unless required by law)

  • Membership fees

  • Gift cards or promotional purchases

However:

  • Unused services may be converted to account credit at our discretion

  • Retail products may be exchanged within [7–14 days] if defective

5. Payments and Pricing

  • Payment is due at the time of service

  • Prices are subject to change without notice

  • Promotions may have separate terms and expiration dates

6. Memberships and Subscription Plans

We may offer membership or subscription-based services. By enrolling, you agree to the following:

  • Billing: Memberships are billed on a recurring monthly basis unless otherwise stated

  • Commitment Period: Some memberships may require a minimum commitment (e.g., 3–6 months)

  • Cancellation: Memberships must be canceled in writing with at least 30 days’ notice

  • Unused Benefits: Monthly benefits may not roll over unless explicitly stated

  • Refunds: Membership fees are non-refundable

  • Freezing Memberships: May be allowed under limited circumstances at our discretion

We reserve the right to modify or terminate membership programs at any time with notice.

7. Photo and Media Consent

We may request to take photographs or videos before, during, or after your treatment for documentation and marketing purposes.

By consenting:

  • You grant Willow and Oak Aesthetic Collective permission to use images or videos for marketing, advertising, website, and social media purposes

  • Your identity will remain confidential unless explicit permission is given

You understand that:

  • Consent is voluntary

  • You may decline or withdraw consent at any time in writing

  • Declining consent will not affect your ability to receive services

8. Consent to Treatment

By receiving services, you acknowledge that:

  • You have provided informed consent

  • You understand risks, benefits, and alternatives

  • You have disclosed all relevant medical information

Failure to disclose accurate information releases us from liability related to resulting complications.

9. Limitation of Liability

To the fullest extent permitted by Tennessee law, Willow and Oak Aesthetic Collective shall not be liable for:

  • Indirect, incidental, or consequential damages

  • Adverse reactions due to undisclosed conditions

  • Dissatisfaction with aesthetic outcomes

All services are provided “as is” without warranties.

10. Indemnification

You agree to indemnify and hold harmless Willow and Oak Aesthetic Collective and its team from any claims or damages arising from:

  • Your use of services

  • Your violation of these Terms

  • Inaccurate or incomplete information provided by you

11. Privacy

Your use of our services is also governed by our Privacy Policy. We take appropriate steps to protect your personal and health information.

12. Intellectual Property

All website content, branding, logos, and materials are the property of Willow and Oak Aesthetic Collective and may not be used without written permission.
